School Photos: Week 11 (November 9th, 10th & 11th)

Dear ECE and Y1-4 Staff,

Please see below important information regarding the upcoming School Photographs at RP, including the schedule.

Please note the following important points:

  • The Primary School photographs will take place between Wednesday, November 9  – Friday, November 11
  • Photos take place in the ECE Library
  • Both class photos and individual portraits will be taken for ALL students.

On the photo day:

  • Please be on time – the schedule is tight
  • Bring your students in order of the register (alphabetical) as this will make the process quicker

Staff Photos

  • Staff will need to have their individual photos taken. Class teachers to have theirs taken at the same time as their class,
  • For non-teaching staff – you will need to take department team photos as well as individual photos
  • Specialists/EAL/LS should go to the photo venue (ECE Library) at some point during their prep time. It is very important that every staff member has their individual photograph taken, as we will use them for the Year Book.
  • The staff group photos will take place on Wednesday 9th The ECE photo will take place at 3:35pm, and the Primary Photo will take place straight afterwards at 3.50pm on the steps near the Parent Room. We will also have a whole ECE and Primary Photo. Please note that all teachers need to attend this photoshoot and should be dressed professionally.

 Please can class teachers include a reminder of the photograph day in the student diaries a day or two before the scheduled day. The message could be as follows (but feel free to amend as necessary):

The annual school photographs will be taken this week. Our class will have their photograph taken on ………………………….. On this day all children should come to school looking smart and wearing the formal school uniform. As the class photograph will also be taken, we would like consistency in what the children are wearing (please delete following sections that are not applicable to your students)

K2 Students – Please send them to school that day wearing smart/neat clothing.

K3 & K4 Students – YCIS sports shirt and blue shorts. Ensure running shoes are clean and paired with white socks. No dresses or school button up shirts.

Primary Students –Students should wear their cotton shirts and red blazers. Boys should wear their blue winter trousers. Girls can wear winter skorts or their winter trousers. All students should wear their black dress shoes. If your child has PE on that day, it will be necessary for them to change to their sports uniform before/after their photograph has been taken.

Guidelines for Taking and Uploading Photographs – ECE & Primary

Dear all,

Our CLT have been looking for ways in which to ensure quality photographs of school events are available for our School community to view. We do often have the AV team to take photos of the larger events, but quite often that is as far as we get, and nothing happens to them afterwards. We have therefore put the following system in place:

  • Key events, of which we would like photographs taken and made available to the school community, are identified.
  • A designated person (see list below), is responsible for booking AV (through support division) to take photos of that event.
  • Once the event has taken place, the staff member is responsible for liaising with the AV team, and saving their photographs onto the Year book server.
  • Only the top quality and appropriate photos should be chosen. The idea is to have quality over quantity. Please read carefully the guidelines attached for more information.
  • Once the photographs have been saved onto the yearbook server, then please inform the ECE & Primary Coordinators.
  • The ECE & Primary Coordinators will then upload the photographs onto SmugMug
  • Rob/Helen will then ensure the link is included in the weekly parent email

School Photograph Make-Up Day – Important

Dear ECE and Primary Teachers,

On Tuesday this week, we have arranged the school photographer to take photos of any students/teachers who missed the school photos in Semester 1. Sports Team members as well as Student Council Representatives will also have their photographs taken. These photos will be used in the Year Book this year, so it is essential that we obtain photographs of all students. The date for the make-up photos for each campus is as follows:

  • Tuesday, April 23 – RP Campus (Auditorium)
  • Thursday, April 25 – CP Campus – More info to follow

A few points to note:

  • Please click the following link to see a list of all the students who require their photograph to be taken. Please use the tabs at the bottom of the excel files to find all the different Sports Team photos:  Make-Up Photos Student List 2018-19
  • Parents of all the students on the list have been emailed informing them of the photo date, and uniform expectations.
  • Primary Class teachers – please place a reminder note in the diaries of the Student Council members to ensure that they wear the correct uniform to school that day: we are asking that all students wear their cotton shirts and red blazers. Boys should wear their blue winter trousers. Girls can wear either their summer dress, winter skorts or their winter trousers. All students should wear their black dress shoes. If your child has PE on that day, it will be necessary for them to change to their sports uniform before/after their photograph has been taken. Sports team need to wear their YCIS Sports Team jersey (Swim team wear their usual school uniform).
  • If any teachers have yet to have their photograph taken, then it is essential that you do so on this designated day – see the third tab on the student list above if you cannot remember.
  • Y6 swim team and U11 football teams will have their photographs taken on this day
  • Y6 buses will leave at 10.05am, and will return after the photographs have been taken – Matt will inform the Y6 teachers of the students who participate in these teams (they are not included in the attached list).
  • It is very important teachers remind the students to go to the Auditorium at the correct time. Please ensure that you send the children 5 minutes before the times listed in the schedule. The schedule is  tight, and we do not have time to go around looking for students.
  • Some students will be in specialist, EAL or Chinese classes when they are due to go for their photo. Please can all teachers be aware of this and check the student list to know who to send (see first bullet point).

We have tried hard to limit the amount of disruption this will cause, although inevitably, there will be some inconvenience. Thank you for your flexibility in this. Please let me know if you have any questions.

  • The Primary School photographs will take place on Monday 20th, Wednesday 22nd, and Friday 24th November
  • Photos take place in the RP auditorium and CP Theatre
  • Both class photos and individual portraits will be taken for ALL students.

On the photo day:

  • Please be on time – schedule is tight
  • Bring your students in order of the class list (alphabetical) as this will make the process quicker

  • Staff will need to have their individual photos taken; class teachers to have their photo taken at the same time as their class.
  • Specialists/EAL/LS should go to the photo venue (CP Theatre or Auditorium) at some point during their prep time. It is very important that every staff member has their individual photograph taken, as we will use them for the Year Book.
  • The Primary staff group photo will take place on Monday 20th November 3.50pm on the steps near the Parent Room. Please note that all teachers need to attend this photo-shoot and should be dressed professionally.

If your child has PE on that day, it will be necessary for them to change to their sports uniform before/after their photograph has been taken.

  • Y6 students will visit the Book Swap until 10.10, and then have recess from 10.10-10.30 (will need a Y6 teacher to supervise the play structure.

  • Please ensure that you send the children 5 minutes before the times listed in the schedule. The schedule is very tight, and we do not have time to go around looking for students.
  • Some students will be in Chinese class when they are due to go for their photo. Please can Chinese teachers be aware of this and check the student list to know who to send (see first bullet point).

Primary Photos – saving them on the yearbook server

I have created folders on the yearbook server for all school events and class folders here:

Please note the following:

  • Please use this as the place to store all photos including class event photos, ASAs, field trips etc. This makes it easier for the office or anybody else to look for photos (and of course – yearbook)
  • Events photos should be placed in the events folder – for e.g.
    • Founder’s Day photos are placed  here by Leo – smb://10.3.1.1/Yearbook/YearBook 2016-17/Photos/Founders Day (thanks Leo!)
    • charity week is coming up, please place the photos for the events under the charity week folder
  • You can make sub folders for your specific class events inside your class folder.
