Giving Tree 2020 – ECE & Primary

Dear ECE & Primary Teachers,

Every Year the Parent Organisation Pudong (POP) helps to organise the Giving Tree, where we collect and distribute donations to chosen charities. A parent email was sent out on Friday afternoon, giving details of the items that they should bring in and which charities they are going to. They are being asked to bring them in next Wednesday or Thursday.

This year, there are certain logistical challenges with regards to the collection of the items, due to parents not being able to enter the campus. Therefore, for this year, each year level will be given boxes for the items to be placed. Whilst there is not an expectation to take the items to the Christmas tree, please feel free to take a photo of your class/year level with all the items.

The main action items for teachers are as follows:

For ECE Classes

  • Please click on the link below to find out more information regarding the chosen charity for your year level, and the list of items that they should bring in (all items should remain unwrapped).
  • Please discuss this with your students to ensure they know what to bring in – please refer to the parent email that was sent out on Friday.
  • Children to place items in a box located in/outside their classrooms (boxes will arrive by Tuesday)
  • Take a class photo and add to Seesaw
  • Once the photo has been taken, please ask children to pick up the item (any one will do), and place it in the relevant box in the ECE Library area
  • The boxes will be collected by the end of the week.

For K4-Y6 Classes

  • Please click on the link below to find out more information regarding the chosen charity for your year level, and the list of items that they should bring in (all items should remain unwrapped)
  • Please discuss this with your students to ensure they know what to bring in – please refer to the parent email that was sent out on Friday.
  • Add a note to the students’ diaries informing parents of the day that they need to bring the items in.
  • On the day, please have your children bring the unwrapped items and place them in the designated boxes given to each year level (These should arrive by Tuesday, and they can be placed outside the year level classrooms for RP, or within the LC for Y5-6).
  • Feel free to take a class photo with the items (does not need to be placed by the Christmas Tree).
  • The boxes will be collected at the end of the week.

More information regarding the chosen charity for your year level, please click on the relevant link.

Please email Roseline for any questions.

Thank you.

E-Learning Expectations and Schedules – ECE & Primary

Dear Colleagues,

Having been through e-Learning before, we recognise that it is important to prepare ourselves for any emergency situation whereby we would be forced to temporarily close our school doors. We have therefore put together a set of expectations and schedules should we need to implement the e-learning programme again – please click the links below. Please take the time to look through these documents carefully in your teams, and ensure that you are familiar with all the expectations and action points:

Please let us know if you have any questions,

Kind Regards,

Guidelines for Taking and Uploading Photographs – ECE & Primary

Dear all,

Our CLT have been looking for ways in which to ensure quality photographs of school events are available for our School community to view. We do often have the AV team to take photos of the larger events, but quite often that is as far as we get, and nothing happens to them afterwards. We have therefore put the following system in place:

  • Key events, of which we would like photographs taken and made available to the school community, are identified.
  • A designated person (see list below), is responsible for booking AV (through support division) to take photos of that event.
  • Once the event has taken place, the staff member is responsible for liaising with the AV team, and saving their photographs onto the Year book server.
  • Only the top quality and appropriate photos should be chosen. The idea is to have quality over quantity. Please read carefully the guidelines attached for more information.
  • Once the photographs have been saved onto the yearbook server, then please inform the ECE & Primary Coordinators.
  • The ECE & Primary Coordinators will then upload the photographs onto SmugMug
  • Rob/Helen will then ensure the link is included in the weekly parent email

Please see list below of events and responsible staff member for Semester 1.

  • Founder’s Day – Rob
  • ECE & Primary Book week –Tania
  • Y5-6 Camps – Jon and Cathal
  • Y4 at CP to experience learning communities – Jen Stains
  • Y6 Science Fair – John McEnhill
  • All Christmas concerts – All Year Leaders
  • K2 Picnic – Stacey & Sheryl
  • Christmas Activities – ECE Year Level Leaders & Coordinators
  • ECE Learning Communities – ECE Year Level Leaders & Coordinators

Please view the guidelines carefully here. Included in these are sample photographs and information about student privacy and safety

Please let your relevant coordinator know if you have any questions.

Kind Regards,

Rob

ECE & Primary End of Year Tasks June 2019 – Important

Dear all,

Coming to the end of the year, there are always a lot of tasks/jobs to complete. To aid you in this process, we have created a checklist. Please click on the following link and read through carefully. I realise that the list is quite lengthy, but hopefully it will be very helpful when packing up. Team Leaders –  please run through this list with your team to ensure all team members are aware of what needs to be completed.

One of the main tasks is to pack up your classroom. Please see the Staff List, Room Usage documents and Moving Plan to find out where your classroom will be next year.

Please take note of the following important points:

  • The K4s classrooms will be on the ground floor of the ‘Primary’ Building (where the current Y2s are)
  • Due to this move, we will move away from the terminology of ECE and Primary Buildings. We will now call then A Building (currently ECE) and B Building (Currently Primary).
  • All student desks and chairs in Primary will move with the class, so please label them with the ‘new’ classroom number – see room usage document.
  • Year 5 classes will need to ensure that their labels clearly state CP. Would be good if the labels are printed on different colored paper for CP
  • Shelving will stay in the current classrooms. The only difference is that the Y2s will label their shelving as ‘storage’ – as the K4s will bring their own shelves.

Due to the number of teachers that will be moving classrooms, it is extremely important to ensure that everything is correctly labelled, including all boxes, desks, chairs, furniture etc…

Boxes and tape are available in the ERC, and you may collect up to 6 per classroom at first…you may collect more afterwards if necessary. Please print the following bilingual label:

Label

Please do not start packing up your room until Wednesday 26th June, in the last week (after all class parties have been finished).

Please note that all rooms will be painted and floors will be polished, so all resources will need to be boxed up.

For Primary – if there are items in your classroom that needs to be fixed, please email Hayes directly. If you would like to replace/purchase anything (e.g. whiteboard), please fill in a  purchase requisition form, and place on Rob’s desk.

For ECE – please see Coordinators for any matters arising

If you have any questions, then please do not hesitate to ask.

Thanks,

Rob

Insurance for Business Trips and School Trips

Dear Colleagues,

YCIS has insurance for groups who travel for school (such as school trips) and also for staff who go on business trips (which includes those who travel for conferences, workshops etc…).

Please find attached below an e-card which contains the contact number(s) for the carrier of our group travel insurance:

Travel Card – Word Version-2bygabw

The insurance does not replace health insurance as the cover for that is much greater, but it would cover you in case of an unforeseen accident or event when you are traveling on school business.

For more information of the coverage, please take note of the following:

Travel Insurance _1718-168x4oc 旅行险服务手册

Travel Insurance Handbook 2017-12eg283

Please keep the Travel Card handy when on a school trip or business trip.

If you have any further questions, contact Jennifer Jiang in HRD – jenniferj@sh.ycef.com

Special Staff Meeting next Wednesday (ECE and Primary)

Dear Colleagues,

We hope you had a great holiday and have settled back into the new semester.

We wanted to alert you to the ECE and Primary Staff Meeting next week, as it will finish later than usual.   As you know, child protection is one of our major focus areas for this academic year.  At the staff meeting on Wednesday, we will be updating you on our Child Protection progress and plans, and then will start the first module of our Child Protection training, using EduCare.  It is extremely important that you have received your log in and that you can access the system.   You can work with someone else on theirs, but if you don’t do it yourself with your own account, you will not receive the certificate.  These certificates will be very helpful and most of the new teachers we are hiring from the UK and elsewhere have had child protection training.  If you have not been able to log in to the system, please ask Jenni Wang for help.

As we discussed at an earlier staff meeting, you will be asked to complete the remaining 4 modules of the course in your own time.  This will take 3-4 hours and as a result we will not ask you to come into school on Saturday morning, January 21, which was originally scheduled as a half day PD day.  You are welcome to complete the course in small groups, teams or individually, but each of you will need to complete the module quizzes using your own account to receive the certificate of completion.  We would like everyone to have the course finished by the end of March.  More information will be provided at the staff meeting.

The staff meeting will be for all ECE and Primary staff, starting at 4:00pm on Wednesday, January 11.  Librarians and Judy are also asked to attend.  We will start in the RP Auditorium, and snacks will be available from 3:45pm.  After the initial presentation, you will be divided into groups for the first module.  Depending on how long it takes your group, the meeting could go as late at 5:30pm.

Thank you very much for your support with our Child Protection work.

We wish you all an enjoyable weekend.

Damien and Mary

Portfolios- We have been slowly looking at different Portfolios samples, those that we  have seen have all been great. Looking forward to reading them all soon. Please remember as each child is different, so is each teacher in how you form your portfolios. Michelle and l are clear on Portfolio expectations and if you are meeting these requirements  do not be concerned about someone else work. Portfolios are a  good way for you to be more expressive in explaining the learning journey for the  child. If questions are arising it might be an opportunity for you to quietly  self-reflect.  Always feel free to talk to either coordinator about any concerns you might have.

Today is Chinese Cultural Day for Primary, they will be using the Red court yard.

K4A Performance– On Monday K4A class are doing their final dress Rehearsal for their Story performance. It will begin at 9.30 in the Auditorium all ECE classes are welcome to attend.
