ESL in the Mainstream Course for New Teachers- All staff welcome

Dear Teachers,

Most staff of our ECE and Primary teachers have been trained in one or both of the two ESL courses offered for staff – Teaching Young Children in English in a Multilingual Context (ECE and Lower Primary) & ESL in the Mainstream Class (Middle – Upper Primary).  These courses are designed to provide opportunities for all teachers to develop an understanding of how better to support the needs of second language learners in their teaching.

Over time, we would like as many of our staff to be trained as possible.  It is a big commitment as it involves 7-10 lessons with tasks and readings to complete at the end of each module. Some tasks require you to reflect on your teaching and/or the reading(s) provided, while other tasks involve you trialing strategies learned with your students in class.  More importantly, it is an excellent course for teachers who teach second language children in their classrooms, which are all teachers at YCIS.  The good news is that the course costs, including course booklets and snacks, are covered by the school. Now, all you need to do is sign up and participate. This is a priority and all teachers are expected to have this course completed after two years of employment at YCIS.

The course has been taken by a number of Chinese teachers in the past and the concepts and strategies taught are relevant for any language.  We would encourage Chinese teachers to also take the course and use this for their own professional learning.

If you are interested in signing up, please inform Melissa or Andrea.  The deadline to inform them of your interest in attending a course will be Friday, December 7th.  Please see the attached overview of the 2 courses being offered –

ECE & Primary Team Leader Day (1st June) – Cover Arrangements

Dear all,

On Friday, June 1,  a Team Leader Day has been organised.

A number of  staff will be out for all or part of the day. Please check the following cover arrangements (click to enlarge):

Please note the following important points:

  • Primary EAL/LR at RP and CP will be cancelled on Friday. June 1. Year Leaders, please inform your teams of this.
  • Year/Team Leaders to send detailed plans/schedules to the cover teachers in advance of the day.
  • EAL teachers – please arrange work for the EAL students to be done in the mainstream classrooms that day.
  • Cover teachers – please cover your own supervision duties as usual.
  • Team Leaders – please remember to swap any duties that you cannot make with another teacher, as the cover teachers will have their own duties as usual.

Please let Sissy or Rob know if you have any questions about this.

Thanks.

Kids’ Night In-Friday 13th April-Logistics

Hello all,

As you will be aware, Kids Night In takes place on the Friday 13th April.Students get to stay in school after school on the Friday and eat pizza, do crafts, play some games and have a disco.

For this event, we need all staff to stay at school until 6.30 (RP)/6.50(CP) to support the running of games and activities. Children pay 100rmb for this event which goes to our nominated charities.

  • The role for Y1-4 co-teachers is simple: to escort their class between the different activities.
  • For Y5-6 it is slightly more complicated, and I have emailed Y5-6 teachers separately.
  • EAL/LS teachers have been asked to lead craft groups and have been emailed separately.
  • Specialists have been asked to do various other roles and again should have received separate emails. If you are a specialist and you don’t have a particular role, please let me know.

Please take the time now to review the attached PPT which outlines the logistics for the event. If you have questions, you can email them to me, or come and see me.  Year Leaders and Team Leaders will be going through this with you in team meetings over the next couple of weeks.

KNI Logistics

Thank you for your support for this worthy cause.

Cheers,
John

After School Supervision – RP

Dear all,

Over the past semester, more and more co-curricular activities have been organised to place after school and on weekends. This of course is fantastic for the students, but it has brought some other associated challenges…namely the supervision of students after normal school hours.

Increasingly, we are finding that students are playing around the Courtyard, Play Structure/Field and Hallways without adult supervision. Whilst it is great to see the students playing and socialising after school, there is a need to ensure that they do so safely.

We will therefore be communicating to parents the following points (starting from Monday).

  • RP Courtyard: Students should be accompanied by an adult where in the courtyard after school. The RP Courtyard will close at 4.45pm.
  • Library: Parents/Guardians must supervise their children at all times in the Library after school. If a Primary child is waiting for a MultiSports activity or IIIP lesson to begin (e.g. Football or Gymnastics), then they may stay in the Library to finish their homework/read if they are accompanied by their parents/guardian. The Library will close at 4.30pm.
  • ECE & Primary Hallways: Students should not be running around the hallways, or should always be accompanied.
  • Outdoor Play Structure/Field: Parents/Guardians must supervise their children at all times if their child is playing outside after school. At this time of year, it gets dark quite early. To ensure that students are safe, the Field and Play Structure will close by 5pm. (For Multisports football, the field will close straight after the final session)

For this to work, we will need all staff on-board and vigilant after school to ensure that students are being adequately supervised by the parents/guardians. Therefore if staff see students running around the hallways or playing unsupervised, please take their name and ask them to find their parents. A member of the CLT will then follow-up the next day with that child. If this is repeated behaviour, we will contact the parents.

Please take time this week to speak to your classes about these expectations.

Please let me know if you have any questions,

Rob

Insurance for Business Trips and School Trips

Dear Colleagues,

YCIS has insurance for groups who travel for school (such as school trips) and also for staff who go on business trips (which includes those who travel for conferences, workshops etc…).

Please find attached below an e-card which contains the contact number(s) for the carrier of our group travel insurance:

Travel Card – Word Version-2bygabw

The insurance does not replace health insurance as the cover for that is much greater, but it would cover you in case of an unforeseen accident or event when you are traveling on school business.

For more information of the coverage, please take note of the following:

Travel Insurance _1718-168x4oc 旅行险服务手册

Travel Insurance Handbook 2017-12eg283

Please keep the Travel Card handy when on a school trip or business trip.

If you have any further questions, contact Jennifer Jiang in HRD – jenniferj@sh.ycef.com

Damien and Mary

Inside Recess – Supervision Buddies (Primary)

Dear all,

This year, to make wet recess times a little more manageable for ClassTeachers, we have set up supervision ‘buddies’ for inside recesses. Often during wet or red-air days, co-teachers have to miss out on recess times as they need to look after their own class.

It will be up to the 3 teachers to informally communicate with each other, and find a fair and workable solution on occasions when it is inside recess. There will of course be quite a few times when the supervision ‘buddy’ cannot cover, due to their own duties/teaching schedule, but hopefully it will help on some occasions, particularly when there have been a number of indoor recesses within a week…where a 5-10 minute break can make all the difference.

For Y6, Zaid will be able to communicate with the Y6 teachers directly.

Please see list below (click to enlarge).

Thanks for your help with this,

Rob

New letterhead due to school name change

Dear Colleagues,

At the end of last school year, the school named changed in Chinese, to meet local regulations.  It does not affect the English name of the school but it does impact on school letterhead and so on.  We would like to alert you to some of these changes and ask you to use these documents below, which have been updated.  You might want to save these on your own desktop or in one of your folders.

Email Signature

Many of you like to use an email signature and we have recently updated the school email signature to reflect the new school name in Chinese.  If you do choose to use an email signature, please use the official one, and not one of your own creation.  This is important for our school image and professionalism.  Below is an explanation of how to set up your email address at RP campus and CP campus (with the correct information all included for each campus).  All you need to do is add your name and email address.  If you have trouble setting up this email signature on your Outlook account, according to the instructions, please see one of the IT staff who will be happy to help.

RP Email signature instructions – Email Signature in Outlook 2016 for Mac-RP[1]-yo5107

CP Email signature instructions – Email Signature in Outlook 2016 for Mac-CP-sjytjy

School Letterhead

As you prepare letters home for the school year, please replace old letterheads with this one attached below.  It may look the same but the Chinese characters are different.  For official letters, new paper has been ordered with official school letterhead as well.  Team Leaders please check this and take responsibility.  Chinese Team Leaders can also help.

Official Fa Piao

If you need reimbursement for an event, field trip etc… please use the attached document below.  New regulations mean additional information is required for fa piaos (official receipts) and so we ask you make a copy of this and put on your phone or in your bag/wallet.  Accounts staff will be printing off a smaller version of this for staff which we will distribute later.

Expense Claim form and Payment Requisition form

These forms have been updated as well.  If you want to fill them in using your laptop use the attached versions below.  Printed versions can be found in the School Office.  New staff are encouraged to go to a Team Leader of Coordinator if they need to make a purchase or claim back an expense.  The procedures are relatively complex and to avoid errors or disappointment, it is always best to check with someone first.

End of Year and Beginning of Year Staff Information

Dear Colleagues,

The end of the school year is coming at us fast.  We would like to share some information with you which is for staff only, at this point in time.

Staff List

Please see attached the staff list for next academic year:

SH PD ECE & PRI Staff List 2017-18-21q97sw

Staff In-Service

See attached the draft Staff In-service Plan for August 2017:

PD ECE and Primary Staff In-Service – August 2017-1jprjkt

The main points to note –

  1. Our main training will be MBTI (personality and working style types) / team building.  We have an overseas presenter coming in for this
  2. We will only have one week to prepare the school for the new year.  Most staff will have 2 full days of classroom prep time (though leaders will have a bit less)
  3. On the Monday of the second week, we will have open classrooms for existing parents to visit classrooms, collect uniforms and welcome packs, and meet other parents.
  4. Monday afternoon will be for new parents and students
  5. All staff will be invited to the new family BBQ at RP on that Monday
  6. Tuesday is the first day of school

We will give you a lot more information about points 3-6 in August, so that you can be prepared.

Please don’t print this In-Service plan yet as it is subject to change – things do come up over the summer.

Last day arrangements – next Friday

Buses will be a bit later on Friday and the schedule will be sent out later.

We will start with coffee/tea and snacks in the RP Auditorium at 8:00am.  This will be followed by farewells.

CP staff will have the chance to go to CP on the bus after the farewells.

All other staff can go to CP for lunch at 12:00pm.  There will be buses to take you there and back (info to follow later).

You are free to clean up classrooms, meet etc… in the afternoon.

Rob will soon be sending out end of year pack up arrangements as well.  Your attention to this information will be appreciated.

Many thanks,

Damien and Mary

Year 1 Violin Concert 2017 – Rehearsal Schedule

Good Afternoon,

Preparations for the Year 1 Violin Concert has begun. Please see the rehearsal schedule attached. For those year levels not involved, please be aware of the times when the Year 1s will be using the Auditorium and CP Theatre for rehearsals. See attached document below:

Year 1 Violin Rehearsal Schedule 2017

Please make note of the following:

  • Year 1 Violin lessons only will be cancelled during rehearsal week.
  • As can be seen from the rehearsal schedule, some Year 1 classes miss out on specialist lessons. We have tried to keep this to a minimum, but please make sure you are aware of this. Teachers, please work with specialists (excluding violin), to see if classes missed can be rearranged at a mutually convenient time (it won’t always be possible).
  • Students who own their own violin are asked to bring these to school during rehearsals. When not rehearsing, violins are to be stored in the classroom.
  • Parents will be asked to label the violin case, violin and bow with their child’s name. If students need violins for lessons outside of school, they are able to take their violin home and return it to school the following day. Teachers, please check that these items have been labeled.
  • Students who do not own a violin will use a school violin as normal. Information on where to collect the violin from is in the rehearsal schedule.
  • As some rehearsals will take place in the Auditorium, any Pastoral / Singing Assemblies will need to take place in room 306 (Sophie’s Room). Leaders have been notified of clashes.
  • Year 1 teachers, please note that it is important for all teachers to assist in managing student behaviour and assisting where necessary. It is not a time to bring work to rehearsals.

Please speak to Sophie, Mira or EJ if you have any questions. The concert logistics will be sent out at the end of the week. Information about the Year 2 & 3 Violin Concert will follow shortly.

Thanks,

Melissa
