Insurance for Business Trips and School Trips

Dear Colleagues,

YCIS has insurance for groups who travel for school (such as school trips) and also for staff who go on business trips (which includes those who travel for conferences, workshops etc…).

New letterhead due to school name change

Dear Colleagues,

At the end of last school year, the school named changed in Chinese, to meet local regulations.  It does not affect the English name of the school but it does impact on school letterhead and so on.  We would like to alert you to some of these changes and ask you to use these documents below, which have been updated.  You might want to save these on your own desktop or in one of your folders.

Email Signature

Many of you like to use an email signature and we have recently updated the school email signature to reflect the new school name in Chinese.  If you do choose to use an email signature, please use the official one, and not one of your own creation.  This is important for our school image and professionalism.  Below is an explanation of how to set up your email address at RP campus and CP campus (with the correct information all included for each campus).  All you need to do is add your name and email address.  If you have trouble setting up this email signature on your Outlook account, according to the instructions, please see one of the IT staff who will be happy to help.

As you prepare letters home for the school year, please replace old letterheads with this one attached below.  It may look the same but the Chinese characters are different.  For official letters, new paper has been ordered with official school letterhead as well.  Team Leaders please check this and take responsibility.  Chinese Team Leaders can also help.

If you need reimbursement for an event, field trip etc… please use the attached document below.  New regulations mean additional information is required for fa piaos (official receipts) and so we ask you make a copy of this and put on your phone or in your bag/wallet.  Accounts staff will be printing off a smaller version of this for staff which we will distribute later.

These forms have been updated as well.  If you want to fill them in using your laptop use the attached versions below.  Printed versions can be found in the School Office.  New staff are encouraged to go to a Team Leader of Coordinator if they need to make a purchase or claim back an expense.  The procedures are relatively complex and to avoid errors or disappointment, it is always best to check with someone first.

End of Year and Beginning of Year Staff Information

The end of the school year is coming at us fast.  We would like to share some information with you which is for staff only, at this point in time.

The main points to note –

  1. Our main training will be MBTI (personality and working style types) / team building.  We have an overseas presenter coming in for this
  2. We will only have one week to prepare the school for the new year.  Most staff will have 2 full days of classroom prep time (though leaders will have a bit less)
  3. On the Monday of the second week, we will have open classrooms for existing parents to visit classrooms, collect uniforms and welcome packs, and meet other parents.
  4. Monday afternoon will be for new parents and students
  5. All staff will be invited to the new family BBQ at RP on that Monday
  6. Tuesday is the first day of school

We will give you a lot more information about points 3-6 in August, so that you can be prepared.

Please don’t print this In-Service plan yet as it is subject to change – things do come up over the summer.

Last day arrangements – next Friday

Buses will be a bit later on Friday and the schedule will be sent out later.

We will start with coffee/tea and snacks in the RP Auditorium at 8:00am.  This will be followed by farewells.

CP staff will have the chance to go to CP on the bus after the farewells.

All other staff can go to CP for lunch at 12:00pm.  There will be buses to take you there and back (info to follow later).

You are free to clean up classrooms, meet etc… in the afternoon.

Rob will soon be sending out end of year pack up arrangements as well.  Your attention to this information will be appreciated.

The Outlook

Dear Colleagues,

It has been awhile since we have sent you the Outlook.  It is a very busy time of the year for all of us.  We hope you found the training day on Friday helpful and that it gave you some time for learning, reflecting and chatting with colleagues.  Thank you to our CLT for putting the day together and all those who presented.

We have some information to share with you:

Important ECE and Primary Staff Meeting on Wednesday, April 26. 

We will be having a Child Protection Training session at our Staff Meeting on Wednesday, April 26, in the RP Auditorium.  We will start at 3:50pm and it is anticipated that the meeting could go to as late as 5:30pm.  Please make arrangements to be there and to stay late for this special meeting.

As you know, this topic has been a major focus this year, and this session will give us the chance to share all our new documentation, and do some final staff training.  The training will be led by Zoe, Co-Principals and the Child Protection Committee and we would like to acknowledge their efforts in the Child Protection work.

All non-teaching, English speaking staff (Office, Library, IIIP, etc…) are also expected to attend (unless they attended the CP Campus version last week).  Thank you for supporting this important work.

Name Tags

This is a reminder that it is an expectation that all staff wear their name tags on campus and when supervising students off campus (sporting trips, field trips etc..).   Part of our child protection expectations is that all staff are identified at all times.  Please help us to do this.  If you have lost your name tag, please ask the office staff to make you a temporary badge until the next order goes through (next school year).

Charity Event on Friday and Environment Week this week

We wanted to congratulate Ann and all the people who supported her in raising 18,000 RMB for the famine in Africa, through the bingo.  This is an amazing achievement for all of those who volunteered to help out and all those who took on roles.

This week is Environment Week and the hard work of our staff to both educate the students and make a real impact on the environment is much appreciated.   A special thank you to Liz who leads the committee and all those on the committee who have taken on roles to make Environment a success.

Induction for New Staff

Our CLT and other leaders and staff have been working on a new online induction for new staff – in particular the overseas hired staff.  Using TED Ed and our Blog we will be giving them a number of modules to complete, to help them prepare for Shanghai and the new role.   We will send you the link later in case you are interested in taking a look.  It has been a real team effort with many people involved in this major production.

Announcements for PE and Performing Arts

In 2017-18, we will be trying a new approach of having a whole Pudong (ECE – Secondary) approach to Performing Arts and PE.  The Co-Principals / Vice Principals met some time ago to create a new vision for both of these areas to help further develop these two departments and make us more competitive with other international schools.  We are delighted to announce the following two promotion positions to head up these new departments:

Performing Arts Director – Nick Adgemis

We are pleased to announce that Nick will be the Performing Arts Director for ECE through to Secondary.  Many of his current classes and activities will be taken over by a new Music Teacher who will predominantly work at Century Park Campus, teaching Year 6 and above.  This will free up Nick to lead the ECE and Primary music programme, concerts etc… and take over EJ’s responsibilities.

We would like to acknowledge the efforts and dedication of EJ Swider who will be moving on at the end of this academic year.  EJ has introduced a number of new initiatives and has continued to build and improve the Music programme and we thank him for his efforts.

Athletics Director – Lennart van Vlerken 

We would also like to congratulate Lennart who will oversee Physical Education for the whole school, ECE through Secondary.  A Secondary Head of PE has been hired for next academic year who will work under Lennart and will take on many of the tasks at CP, and an additional PE teacher for Upper Primary/Lower Secondary has also been hired.  Lennart will have a reduced teaching load to enable him to fulfill his responsibilities.   His appointment will allow us to see consistency of sports activities and programmes across the whole Pudong campus.

We would like to acknowledge the efforts and hard work of Mark Connell (Head of Secondary PE) and Faye Page in Secondary.  Both will be leaving at the end of this academic year and will be greatly missed.

The added responsibilities given to Nick and Lennart is to ensure the consistency and development of programmes across the whole school in Pudong, and acknowledging the leadership skills and capacity of both these staff members.

We wish them well and we are confident you will support them both.

ECE and Primary Newsletter

Roseline, Ivy, the CLT and other staff members have been working hard to have the newsletter ready to go out on Wednesday. For the amount of time that goes into the newsletter, readership is still not as high as we would like.   Please find ways to remind students and parents of the newsletter.   We would appreciate if teachers put the newsletter on the Smartboard to show the students, and get them interested.  We always have a student blog, student feature and staff feature and these are usually of interest to the students in particular.

Seeds of Hope – Charity

There will be a change in how we identify ourselves with charity work.  In the past Seeds of Hope has been just about the schools we support, but we have also sent money to other charities as well.  From now on, all our charity efforts will fall under the Seeds of Hope title or brand.  We will still continue to support other charities as normal, but simply all charity efforts will be under an overall Seeds of Hope charity plan.  Logos have been created for this, and we will use it for charity events next year.

At the moment, John McEnhill is working with a team including Lynn and Leo, POP and other interested staff to develop a Seeds of Hope plan for our school for 2017-18.

Campus Developments for 2017-18

We have been working for some time to plan our summer renovations to prepare for 2017-18 and can share the following news with you:

  • The ECE will have a new playground, replacing the existing structure. We will be using the same company as with the primary playground and it will be ready for the start of the school year
  • The ECE will also have a new sensory area around the man-made creek, at the side of the play structure – this was designed by the Outdoor Area PLC
  • The ECE and Primary playgrounds will have new shade sails installed – they will be blue and red
  • The Primary classrooms will have brand new furniture, imported from New Zealand. The furniture allows for more flexibility in terms of grouping and classroom layout, and the chairs are ergonomic design for comfort and improved posture

We will also be announcing the Chinese Team Leader appointments for Primary once they have been confirmed.

We again want to thank those leaders who are leaving their leadership role at the end of the school year and wish them all the best.  We also congratulate the newly appointed leaders and trust the staff will get behind them and support them in their new roles.

Special Staff Meeting next Wednesday (ECE and Primary)

Dear Colleagues,

We hope you had a great holiday and have settled back into the new semester.

We wanted to alert you to the ECE and Primary Staff Meeting next week, as it will finish later than usual.   As you know, child protection is one of our major focus areas for this academic year.  At the staff meeting on Wednesday, we will be updating you on our Child Protection progress and plans, and then will start the first module of our Child Protection training, using EduCare.  It is extremely important that you have received your log in and that you can access the system.   You can work with someone else on theirs, but if you don’t do it yourself with your own account, you will not receive the certificate.  These certificates will be very helpful and most of the new teachers we are hiring from the UK and elsewhere have had child protection training.  If you have not been able to log in to the system, please ask Jenni Wang for help.

As we discussed at an earlier staff meeting, you will be asked to complete the remaining 4 modules of the course in your own time.  This will take 3-4 hours and as a result we will not ask you to come into school on Saturday morning, January 21, which was originally scheduled as a half day PD day.  You are welcome to complete the course in small groups, teams or individually, but each of you will need to complete the module quizzes using your own account to receive the certificate of completion.  We would like everyone to have the course finished by the end of March.  More information will be provided at the staff meeting.

The staff meeting will be for all ECE and Primary staff, starting at 4:00pm on Wednesday, January 11.  Librarians and Judy are also asked to attend.  We will start in the RP Auditorium, and snacks will be available from 3:45pm.  After the initial presentation, you will be divided into groups for the first module.  Depending on how long it takes your group, the meeting could go as late at 5:30pm.

Parent Communication and Blogs

Dear Colleagues,

 

Over the next few weeks, there will be some subtle changes regarding how we communicate with parents.  This follows input from parent surveys, discussions with parents, and input from Roseline who is looking at things with a fresh set of eyes.  Below is the blog post we will send to parents regarding this.  We will also be discussing this more with the team leaders next week at our regular meeting.

 

One point though that we do want to make clear to all staff is that your Class Blog belongs to you and it is the Co-Teachers’ responsibility to keep it updated.  Co-Teachers should also inform parents when the Class Blog has been updated – a short email or diary note to mention that you have posted new photos or information about a class event etc… is all that is needed. We can’t expect parents to just look at the blog unless we direct them there.  Please also make sure your blogs are updated and information and photos from last year are removed.  If you need help, contact Amita or the school office.

 

Year Leaders are responsible for the Year Level Blogs, and the school office will inform parents when Year Level Blogs messages have been posted, after the office staff have been informed by the Year Leader.

 

Communication with parents of over 650 students can be a challenge and we are always looking to improve.  We rely on all our teachers playing their part.  The way we communicate with parents tells them how caring and professional we are, and that we value their involvement.  Don’t forget to make use of your class parent reps as well.  If you want more information about how we can make use of parent reps in ECE and Primary, speak to Nadine or your relevant Coordinator.

The Outlook

Greetings Colleagues,

For those new staff members, this is a Co-Principal message that we send out to our staff from time to time.  The Outlook is designed to  keep you informed of major events, changes in procedures,  and any other things impacting on the school.  We hope you find it interesting and informative.

Playground at RP campus

The playground will start to arrive next week in pieces and the playground area will be roped off from the children.  The process of constructing the playground will begin during the last school week before the October break.  During that week, the children will be able to watch the workers from the cafeteria side of the playground and the ECE classes in particular might be interested to see it take shape.   We will be showing the students some photos at the Primary Assembly on Friday.

In addition there will be large swings called ‘Bird’s Nest’, some balance beams, a see-saw and a new sand pit.  We are sure the children will really enjoy it.  More information about how we introduce the children to the new playground will be shared by Rob.

The Year 6 students will be able to use it when they come to Regency Park Campus, and the first opportunity will be on Founder’s Day.

Parent Information Sessions

We have now completed all of our Parent Information Sessions.  This included 1 for ECE, 1 for Year 1-5, 1 for Year 6 and finally our New Parent Welcome Coffee Morning on Wednesday of this week.  There has generally been a very good vibe and we have heard positive comments about the classroom presentations in particular.  A special thank you to all our staff for all your efforts to share what you do with parents, and for giving up you precious time after hours.  Thank you also to our office and other non-teaching staff – it is such a busy time of the year getting information out to parents and organising everything, so well done to everybody.

We are off to a smooth start for the school year, and we appreciate the efforts of all our staff.

Campus Leadership Team

Recently there have been discussions regarding the upper management structure of YCIS Shanghai.  In Shanghai, the 8 Co-Principals and General Manager of School Operations make up what is called the School Leadership Team (SLT).  To avoid confusion with this, we will be using the term, Campus Leadership Team or CLT to describe our senior leaders for Regency Park Campus.   The CLT is made up of the Co-Principals, Vice Principal, Head of Primary Chinese, ECE Coordinators, Curriculum Coordinators (Primary), the Student Support Coordinator and the Office Administrator at RP.

When you hear us refer to CLT, you will now know what we mean, though it will take some time to get used to it.

New Newsletter coming soon

As mentioned recently, we will be using a new format for our newsletter and we think the new model will be more interesting and user friendly for parents.  Hilary, Head of Marketing has been helping us with the format, and Roseline will be leading the process of putting it together.  We hope to have the first edition ready to be sent out by the end of next week.

If you wish to present an article for the second  edition, please send your proposal to one of the CLT members.  You do not need to write the article just send your proposal for consideration.  The purpose of the newsletter will be to be interesting and informative and we will be avoiding basic recounts of recent events.  If your idea is rejected, you can still use year level and class blogs to get your message across.

Parent Communication

As part of her role, Roseline will reviewing and updating how we communicate with parents through the email and school blog.  We will be trying to ensure the format is consistent and that parents are given ways to find information quickly and easily.  This will be discussed at CLT level and with the team leaders across ECE and Primary.  We will share information that concerns teaching staff when it is available.

Professional Development Blog

We wanted to take this opportunity to congratulate our PD Coordinators, Melissa and Sissy on the excellent PD Blog.  The site has all you need to find professional resources, be informed of upcoming professional development opportunities as well as any forms and procedures you need related to professional development.

We have recently updated the Appraisal section of the PD Blog for International Teachers and Leaders – so please take a look and find out the procedures for your appraisal.

We have a number of teachers participating in school funded PD such as the ACAMIS ECE Conference (BJ) and the ACAMIS Tech conference in Suzhou, and 8 of our staff are going to a three day workshop in Shanghai on Professional Learning Communities.  Other staff are taking advantage of their PD subsidy and attending workshops or doing online study.  See Melissa or Sissy if you want assistance with PD.

Welcome to Natasha

We welcomed Natasha Anfield to our staff this week, and missed the chance to introduce her at the Staff Meeting on Wednesday.  Natasha was hired as a K2 teacher and we are delighted to have her here.  Natasha will partner Apple and we wish her an enjoyable career with YCIS.

Sports Team

The sports teams have started training and many will be beginning matches this weekend or around this time.  We thank all the coaches and PE staff for their efforts with the teams and wish them all the best for the season ahead.

Hoodies

The YCIS hoodies will be available for order soon – office will inform you. There are adult sizes and there are pullover hoodies and a version with a zipper down the middle.  See either RP or CP office if you want to purchase one.

Next Thursday is the Mid-Autumn Festival which is a holiday across China that we will all have a chance to enjoy.  Have you wondered what this holiday is for or what it means?picture1

Mid-Autumn Festival also called the Chinese Moon Festival, is one of the most important annual festivals for the Chinese people. It is a day for family reunion. This lively festival takes place on the 15th day of the 8th lunar month every year.  Moon caes play a vital and significant role in the Chinese Moon Festival. The round moon cakes, which were traditionally used as sacrificial offerings for the Moon God, are considered nowadays as symbols of family reunion.
